Scheduling
Routes, rain delays and skipped stops
Put recurring customers on named routes in stop order, move a whole day for weather, and skip one stop without changing the plan.
Make a route
A route is a set of recurring customers one technician visits on the same day each week, in the order you drive them. Owners and managers set routes up; techs see their own.
- Step 1: Open Schedule, then Dispatch, and tap Routes (or Tools, then Routes).
- Step 2: Tap New route. Name it, pick the days it runs, the technician, the first stop's start time and the drive time between stops.
- Step 3: Tap Add stops and pick recurring service plans and memberships. Each one can be on one route.
- Step 4: Drag stops by the handle to put them in order, or focus a handle and use the arrow keys. Tap Suggest order for the shortest order on the map, then Save order.
- Tip: The route shows its stop count, estimated time and finish time. Distances in Suggest order are straight line, not driving.
Put the route on the schedule
New visits from a plan on a route land on the route's day, for its technician, in stop order.
- Step 1: To move visits that are already booked, open the route and tap Update upcoming visits.
- Step 2: Check the preview: new times, membership visits it will book, and any visit that keeps its time because other work is booked then.
- Step 3: Choose whether to email customers their new time, then confirm.
- Tip: Today stays as it is. Visits under way are never moved.
Move a whole day (rain delay)
- Step 1: Open Dispatch (or the Day view) on the day to move and tap Move day.
- Step 2: Pick whose visits: the whole team or one person. Open Choose visits to leave some out.
- Step 3: Pick the new day. Keep the same times, or start at that day's route start.
- Step 4: Turn on Push the rest of the week so each later day moves along too and nothing is double booked.
- Step 5: Turn on Email customers the new time to send the Visit time changed email. The dialog shows how many customers will get it.
- Step 6: Check the preview for clashes, then tap Move. Tap Undo in the next 10 minutes to put everything back.
- Tip: Customers are emailed only when Visit time changed emails are on in Settings, they have an email address and have not opted out.
Skip one stop
- Step 1: On Dispatch, My day or the visit panel, tap Skip on a recurring stop.
- Step 2: Pick a reason: customer away, gate locked or no access, weather, customer asked, or other.
- Step 3: Owners and managers can tick Let the customer know to open Messages with a short note ready to send.
- Tip: The plan does not change and the next visit is on as usual. A skipped membership visit goes back to Needs a time so it can be booked again.
- Tip: Skipped stops show on the schedule as Skipped, and Reports counts them by reason. Tap Undo skip to bring one back.
For techs
My day shows your route at the top: stops done out of the total, the next stop with Navigate, and Running late when the stop in hand is behind its time.
