Built for HVAC work

Where HVAC days go sideways, and what Relay does about it

  1. 01

The first hot week buries the phones

No-cool calls stack up faster than the office can write them down, and some never get called back.

    In Relay

Every call, web form and online booking lands in one request list with an owner and a response deadline, so nothing waits without someone responsible for it.

    Online booking and requests
  2. 02

Techs arrive blind to the equipment

The tech finds out on site that the condenser is 14 years old and the last visit flagged a weak capacitor.

    In Relay

Save each unit on the customer record, from AC condensers and furnaces to heat pumps and mini-splits. The tech sees the equipment and past visits before knocking.

    Customer records and history
  3. 03

Replacement quotes become a price war

A single number on a replacement invites the customer to shop it, and nobody explains the upgrade options.

    In Relay

Send good, better and best replacement options, from a straight swap to a heat pump with a smart thermostat. The customer picks and signs online, and earlier versions stay on record.

    Quotes signed online
  4. 04

Maintenance agreements live in a spreadsheet

Spring and fall tune-ups for members get missed because the list is in someone's head or a file nobody opens.

    In Relay

Sell a membership like Comfort Club with included visits and a member discount. Member visits coming due in the next 30 days show in Needs scheduling, so none slip by.

    Memberships and maintenance plans
  5. 05

Tune-ups done, but no readings on file

When the compressor fails in August, there is no record of the temperature split or refrigerant check from the spring visit.

    In Relay

The AC tune-up checklist asks for before and after photos and has fields for the temperature split and unit condition. Required steps come first, then the visit can close.

    Phone checklists, photos and signatures
  6. 06

Install crews and service techs on one board

An all-day changeout and six service calls compete for the same people, and the dispatcher juggles it on a whiteboard.

    In Relay

Book installs and service calls on the day or week view with conflict checks. The dispatch map shows every tech's stops with a suggested order.

A day using Relay

One HVAC day, start to finish

A worked example of how the office and the field use Relay together. Times are illustrative.

  1. 7:00Tune-ups are already bookedMember tune-ups coming due were booked from Needs scheduling. Each tech's My day lists stops in a suggested order with directions.
  2. 8:30A no-cool call comes inA customer books online. The request gets an owner and a deadline, and the dispatcher drops it into the afternoon with a conflict check.
  3. 9:15Readings on the recordThe tech works the AC tune-up checklist, saves before and after photos of the condenser and records the temperature split.
  4. 1:00A failed capacitor, fixed and soldOn the no-cool call the tech finds the part, shows the customer, and the office sends repair options. The customer signs the repair with a tune-up added.
  5. 3:30Invoiced from the approved quoteThe signed option becomes the invoice. The customer pays by card through your own Stripe account.
  6. 5:00The office plans tomorrowReports show completed visits and quote close rate. The replacement quote from Tuesday is still waiting, so the owner follows up.

FAQ

HVAC questions, answered

Can Relay track equipment for each customer?
Yes. Save equipment such as AC condensers, furnaces, heat pumps, air handlers, mini-splits, boilers and thermostats on the customer record. Techs see the equipment and past visits on every call.
How do maintenance memberships work?
Create a membership with a price, included visits and a member discount. The HVAC template includes a Comfort Club plan with two seasonal tune-ups a year that you can price and change. Visits coming due show in Needs scheduling on the schedule, and members see visits used and left in the customer portal.
Can I send good, better and best replacement options?
Yes. The template includes AC and furnace replacement quotes with three options each, plus AC repair options. The customer chooses and signs online from a private link, and Relay emails you when they answer.
Can techs record readings like temperature split or CO?
Yes. The AC tune-up checklist has fields for temperature split and overall unit condition, and the furnace tune-up checklist has a CO reading field. You can edit the fields or add your own.
More questions (3)
Does Relay work for install crews as well as service techs?
Yes. Installs and service calls share one schedule with day and week views and conflict checks. The install and startup checklist asks for photos of the old equipment, the new install and the new data plate.
Can I bring my customers over from ServiceTitan or Housecall Pro?
Yes. Export your customers as a CSV file and import them into Relay. Relay shows the export steps for Jobber, Housecall Pro and ServiceTitan and lets you check the column matches before you import.
What does it cost for a small HVAC company?
Solo is $59/month for one user. Team is $149/month with 5 users included, then $29/month for each added user. Both plans have every feature, a 30-day free trial with no card, and no contract.
