Team chat and job notes

Message your whole team, one person or a small group, and keep notes and photos on a visit, customer or request. Customers never see it.

Who sees what

Team chat is only for people on your team. Nothing in it is ever sent to a customer, and it never shows in Messages, which stays for customer email and texts.

Private messages are only visible to the people in them. Direct messages and groups can only be read by their members, owners and managers included.

Everyone on the team can read the Whole team chat. Team notes on a job can be read by anyone who can see that job: owners and managers, and staff assigned to the visit or request.

When someone leaves the team, their access ends right away. Their messages stay, with their name.

Start a conversation

  1. Step 1: On a computer, tap the round chat button at the lower right. On a phone, tap the chat icon at the top of the screen.
  2. Step 2: Pick a conversation, or tap New message and choose Direct for one person or Group to name a small group and add people.
  3. Step 3: Type your message. Enter sends and Shift and Enter starts a new line.
  4. Step 4: Type @ and a name to mention someone. They get their own notification, even in a busy Whole team chat.
  5. Step 5: Tap the photo button to add up to 4 photos. On a phone, the camera button opens the camera.
  • Tip: Conversations open as small windows along the bottom of the screen. Minimize or close them, or open the full page with the expand button.
  • Tip: Tap the three dots on your own message to edit or delete it. Others see Edited or Message deleted.
  • Tip: In a direct message, Seen shows when the other person has read your latest message.

Team notes on a job

  1. Step 1: Open a customer or request and find Team notes beside the record. On the schedule, open a visit and tap Team notes.
  2. Step 2: Add a note or photo. The thread stays with that job and shows in your chat list.
  • Tip: People assigned to the visit or request follow its notes automatically and get a notification for new notes.
  • Tip: Opening a job's notes also follows them, so new notes show as unread in your chat list.

Share a record in chat

  1. Step 1: On a customer, request, quote, invoice, visit, task, membership or timesheet, tap Share (on a customer it is under More). Pick a conversation or tap New message to choose a teammate, add a note if you like, and tap Send.
  2. Step 2: In any conversation, tap the paperclip to find a record by name, number, address or phone and add it to your message.
  3. Step 3: Or paste a Relay link to a record into a message. It turns into a card.
  • Tip: The card shows the record's name, customer, status, and date or amount. Tap it to open the record.
  • Tip: Each person sees only what they can already open. Someone who can't open the record, like staff and a customer card, sees a locked card with no details. A deleted record shows as unavailable.
  • Tip: You can only share records you can open yourself.

Notifications

Whole team messages, direct messages, group messages, mentions and new notes on jobs you follow show in the bell. Nothing is sent while you have that conversation open.

A busy conversation never piles up alerts: you get one per conversation, updated with the newest message, until you open it. Mentions always get their own.

Phone notifications for team chat are on by default. Turn them off on Notifications, under Phone notifications, with Team chat.

Do it in Relay
