Truck stock: parts in the shop and on every truck

Track parts on each truck and in the shop. Parts used on visits come off the tech's truck, with restocks, counts and a shopping list.

Set it up

Owners and managers set up truck stock. Items come from your price book, so names, prices and costs stay in one place.

  1. Step 1: Open Truck stock (More, then Truck stock) and tap Add shop. Then add each truck and pick its technician.
  2. Step 2: Tap More, then Add parts to stock, and pick the parts and equipment you carry.
  3. Step 3: Tap Receive stock and enter what is on the shelves today, into the shop or straight onto a truck.
  4. Step 4: Open a part and set a min and par for each location. Min is the reorder point; par is the level a restock fills back to.
  • Tip: A truck can belong to one technician. Archive a truck you sell; its history is kept.

Parts used on a visit

When someone adds a price book part to a visit, it comes off the visit technician's truck right away. The parts form shows how many are on hand and lets you pick another location, or Not from stock.

  • Tip: Changing the quantity puts the difference back or takes more. Removing the part puts it all back.
  • Tip: Stock can go below zero when a part was used before it was received. The list flags it in red until a count or restock fixes it.

Restock a truck

  1. Step 1: Tap Restock a truck and pick the truck. Relay fills in what it needs to reach par, limited to what the shop has.
  2. Step 2: Change any quantity, add other parts, then tap Move. Each part is logged as moved out of the shop and into the truck.

For technicians: My truck

  1. Step 1: Open My truck from the menu, or the My truck link on My day, to see what you carry and what is low.
  2. Step 2: Tap Request restock. Relay fills in what you need to reach par; change it and send. The office approves it and the parts move to your truck.
  3. Step 3: Tap Count my truck. Tap Matches for each part that agrees, or count it, then review and apply.
  • Tip: Technicians see only their own truck and never see costs.

Receive, adjust and count

  1. Step 1: Receive stock adds what came in from a vendor. Owners can type the new cost and tick Update price book costs.
  2. Step 2: Adjust quantity fixes one part by hand. Pick a reason, such as Damaged or Found; it is kept in the history.
  3. Step 3: Counts: pick a location, count it, review the differences, and apply. Missing parts show in the shrinkage report.

Low stock and the shopping list

Once a day, owners and managers get one notification listing parts at or under their min. Turn the Truck stock alerts on or off per device in Notifications.

  1. Step 1: Tap More, then Shopping list, to see what to buy, grouped by vendor, with enough for every location to reach par.
  2. Step 2: Print it or download it as a spreadsheet. Set each part's vendor in its settings.

History and reports

History shows every change: received, moved, used on a visit, counted and adjusted, with who and when. Reports show stock value at cost, usage by part and technician, and shrinkage from counts, each with a CSV download.
