Quotes and invoices
Create an invoice and get paid
Turn an approved quote into an invoice, tell customers how to pay, and record payments.
Tell customers how to pay
- Step 1: Go to Settings and open Brand kit.
- Step 2: Fill in How customers pay you, for example check, bank transfer or phone payment.
- Step 3: Tap Save brand kit. This text shows on every invoice link.
Create the invoice
- Step 1: Open an approved quote. If the customer approved by phone, record the decision first.
- Step 2: Tap Create invoice. It includes only the approved option and the optional items the customer added.
- Step 3: Tap Send invoice to email it from Messages, or use Copy link in the Invoice link panel.
- Tip: The customer sees the amount due, payments so far and how to pay you.
Invoice many visits at once
- Step 1: Go to Quotes and tap Create invoices.
- Step 2: Pick the dates. Completed visits with no invoice yet are listed by customer.
- Step 3: Check the ones to bill and tap Create. Each one is saved as a draft.
- Step 4: Tap Send all to email them. Customers with no email, or who asked not to get email, are skipped.
- Tip: Each invoice uses the approved quote, or the service catalog price, plus parts used on the visit.
Repeat an invoice
- Step 1: Open the invoice and tap Repeat this invoice.
- Step 2: Pick how often, the next date, and when it ends.
- Step 3: Turn on Email each new invoice if you want it sent for you. Otherwise each one waits as a draft.
- Tip: Pause or stop a repeat from the same invoice at any time.
Record a payment
- Step 1: Open the invoice.
- Step 2: Under Record a payment, enter Payment date, Amount received and Payment method.
- Step 3: Tap Record payment.
- Step 4: For part payments, use Record additional payment. Payment history and balance shows what is left.
- Tip: Once card payments are on, card payments are marked paid for you.
