Job expenses and receipts
Add fuel, dump fees, permits, rentals and other costs to a visit or job, snap the receipt, and bill them to the customer with a markup.
Add an expense on a visit
- Step 1: Open the visit on Field work or My day and tap Expenses.
- Step 2: Enter the amount, tap a category and add the vendor or a note if it helps.
- Step 3: Tap Add receipt photo to take a picture of the receipt with your camera.
- Step 4: Tap Add expense. It shows in the list with the receipt, and counts toward job profit right away.
- Tip: Staff add expenses on visits assigned to them and see only the ones they added.
- Tip: Expenses need a connection. Add them when you are back online.
- Tip: Receipt photos are stored privately and location data is removed.
Bill an expense to the customer
Turn on Bill the customer and enter a markup, like 15 for 15%. The form shows what the customer pays.
- Step 1: When you create the invoice from the approved quote, leave Add parts and billable expenses ticked.
- Step 2: On a draft invoice, tap Add parts and billable expenses.
- Step 3: Create invoices from completed visits adds them too.
- Tip: The line reads like Dump fee: City transfer station, quantity 1, at cost plus markup, not taxed. Change it on the draft if you need to.
- Tip: An expense on an invoice is locked. Nobody can change or remove it.
See where the money went
- Step 1: Owners and managers see every expense on the request page, under Expenses.
- Step 2: Reports has an Expenses section by category, person and job, with Download expenses CSV.
- Tip: Expenses are not sent to QuickBooks. Use the expenses CSV for your bookkeeping.
