Running the business
Tech pay and commissions
Pay rules for each person (hourly with overtime, flat rate or salary), commissions and spiffs, then approve each pay period and export it for payroll.
Set up pay
Only owners set up and change pay. Open More, then Team, then Pay, and tap Set up pay.
- Step 1: Pick a Pay period (every week, every two weeks, twice a month or every month) and the first day of a period.
- Step 2: Choose when overtime starts (40 hours a week by default) and its rate, 1.5x or 2x.
- Step 3: Choose when commissions count: when the invoice is paid in full, or when the quote is approved and the invoice is sent.
- Step 4: Tap Set up pay, then Add rule beside each person.
Pay rules
Hourly: paid hours (work plus travel, not breaks) times the rate. Overtime is worked out per workweek, even when a week crosses into another pay period.
Flat rate: a set amount per job (once per request, when it is invoiced) or per completed visit.
Salary: the same pay every period, prorated by day in the period the rule starts.
- Tip: Commissions are optional on any rule: a percent of quotes the person sells (the approved amount before tax), a percent of job revenue on jobs they worked, and spiffs.
- Tip: When several techs work a job, job revenue commission is split evenly or by each person's time on the job. You choose in pay settings.
- Tip: Spiffs are a flat bonus for each chosen service or membership a person sells. Add them under Spiffs on Pay rules.
- Tip: Job profit uses each person's hourly rate or flat rate from their pay rule. People on salary or without a rule use the hourly cost on Team.
Review and approve a period
- Step 1: Open Pay. The period shows each person's hours, wages, commissions, spiffs and adjustments, with a total.
- Step 2: Open a person to see every workweek, job and commission line, each linked to its quote, invoice or job.
- Step 3: Add a bonus or deduction with a reason if you need to.
- Step 4: From the period's last day, tap Approve period. It locks: later changes no longer move what was approved.
- Tip: Anyone still clocked in must clock out before you approve.
- Tip: To change an approved period, tap Reopen period and say why. Every approval and reopen is recorded.
- Tip: A commission earned inside an approved period after it was approved (a late payment, for example) moves to the next open period, so nothing is lost or paid twice.
Export for your payroll
- Step 1: On Pay, tap Export for payroll.
- Step 2: Choose Pay by person for one row per person, or Every line item for each hour, job and commission behind the totals.
- Tip: Relay works out gross pay from your rules. It does not work out taxes or withholdings, and it does not run or file payroll.
For technicians: My pay
When the owner turns on Show techs their pay, each person with a pay rule sees My pay from My day and their timesheet: hours, overtime, jobs, commissions earned and pending, and past periods.
Pending commissions are waiting on something, such as the customer paying the invoice. Nobody else's pay is ever shown.
Who can see pay
Owners see and change everything. An owner can let a manager see pay and pay reports (not change them) under Who can see pay. Staff only ever see their own.
